- Q: Why can't I record longer than 60 seconds using Window's Sound Recorder?
A: Unfortunately, the Sound Recorder that comes with Windows is limited to only 60 seconds. In order to record a longer sequence you will need to use another sound recording software.

- Q: How do I package a presentation for a CD? (Office 2003 Users)
A:
- Open the presentation that you want to package. If you are working with a new presentation that has not been previously saved, save the presentation.
- On the File menu, click Package for CD. (Note: if you cannot locate this option, click the down arrow at the bottom of the File menu.)
- In the Name the CD: box, type in your FirstnameLastname for example if your name is John Doe type in the name JohnDoe - NO SPACES. (Later this will create a folder and make it easier for your Facilitator to know it is your project.)
- Click Copy to Folder… and then click Browse
- From the Look in: drop-down menu at the top click Desktop and click Select.
- Click OK, (wait while the files copy to your desktop) Click Close.
- Close the PowerPoint Presentation. From the menu bar click File, and then click Exit. (If asked Do you want to save changes made to… ? select Yes.)
- On your Desktop you will see a new folder named your FirstnameLastname
- Proceed to WinZip Instructions below in this document.

- Q: How do I use the Pack and Go feature? (Office 2000 Users) Office 2000 Users - Pack and Go
A:
- First we need to create a folder on your Desktop to package the presentation to. To create a new folder on the Desktop, close any programs you have open.
- Right-click any blank space on the Desktop and select New then Folder.
- Right-click the New Folder and select Rename.
- Rename the folder to be your FirstnameLastname for example if your name is John Doe type in the name JohnDoe - NO SPACES. (This will make it easier for your Facilitator to know it is your project.)
- Open the presentation that you want to package. If you are working with a new presentation that has not been previously saved, save the presentation.
- From the menu bar click File, select Pack and Go... (Note: if you cannot locate this option, click the down arrow at the bottom of the File menu.)
- A new window will appear called Pack and Go Wizard, click Next.
- Under the question Which presentation would you like to package? the Active Presentation is selected, click Next.
- Under the question Which drive should the file be copied to? select Choose destination: click Browse. From the Look in: drop-down menu at the top click Desktop.
- Under the phrase The Pack and Go Wizard can include linked files and fonts used in your presentation the Include linked files is selected, click Next.
- Under the phrase To give the presentation on a computer that does not have PowerPoint installed, include the PowerPoint Viewer. the Don't include the viewer is selected, click Next.
- Under the phrase When you click Finish, PowerPoint will: click Finish.
- A new window may appear if this is the first time you have used the feature, under the phrase This feature is not currently installed. Would you like to install now? click Yes. - Note: You may be prompted to insert your Microsoft Office CD, if so please insert the CD into the CD ROM drive.
- A new window will appear called Microsoft PowerPoint, under the phrase Pack and Go has successfully packed your presentation(s). click OK.

- Q: Where can I download Impatica?
A: Please note that Impatica is a license that must be purchased. To purchase Impatica, go to universitycomputers.com
(You will need your BU ID number available to complete the purchase) After purchasing your Impatica license, you will receive a registration code from Impatica via email. With your registration code available, go to the following website to download your copy of Impatica:

- Q: Why do I need Impatica?
A: Once your PowerPoint presentation is complete you may end up with a very large file due to the audio files and images that have been incorporated within your presentation. Impatica will drastically decrease the size of a PowerPoint presentation making it easier to post to the discussion board.

- Q: Do I need to convert my WAV audio files to MP3?
A: It is extremely important that your files have been converted from the original .wav file into the .mp3 format. Converting your file into .mp3 format will help decrease the final size of your PowerPoint presentation. If you have not converted your files from .wav to .mp3 you may experience issues uploading your final PowerPoint presentation as it could exceed the maximum upload limit.

- Q: How do I Insert my MP3 audio files into each slide?
A: Within PowerPoint, you should be able to input your MP3 file into your slides by:
- Clicking on Insert
- Selecting Movies and Sound
- Selecting Sound from File
- Locate the sound file within the appropriate folder of your computer
- Double click on the filename and select how you would like the file to play (Automatically or When clicked)

- Q: Why can't I open Impaticized PowerPoint presentations?
A: Java is a plug-in that is required in order to view presentations that have been compressed using Impatica. To download the Java plug-in, please go to http://www.java.com/en/download/manual.jsp and click on the Windows (Online Installation) link.
For MAC users, please scroll down to the bottom of the page and click on the instructions that relate to your specific Operating System.
Once your installation is complete, please restart your machine in order for the settings to take affect.

- Q: Why can't I hear the audio within my slides?
A: If you have simply zipped your PowerPoint presentation using Winzip, the associated audio files that have been incorporated within your slides have not been included within your zipped file. Your audio files are linked from your personal computer to the PowerPoint presentation. These files must be packaged using pack and go or package for CD in order for others to be able to hear them on their computer. This feature will incorporate your audio files into the packaged folder so that your PowerPoint presentation is linking to the appropriate audio files.

- Q: I have placed new narrations into my slides. Why are the old narrations playing?
A: You may have two audio files setup within that particular slide. To see if you have multiple sound files on that slide, move the sound icon (image of a speaker) to see if there are any other icons directly beneath it. If there are multiple sound icons displayed, remove the unnecessary sound file from the slide.

- Q: How do I separate the sound from my presentation without starting over if I recorded my sound files directly onto my presentation?
A: Unfortunately, if you have recorded the sound directly to each slide, they cannot be split after the fact. Audio files should be recorded and added to each slide.

- Q: How do I download a PowerPoint Presentation file?
A:
- Connect to the Internet and open Internet Explorer. Login to your course and navigate to the Discussion area. Click the attachment name i.e. JohnDoe.zip
- A new File Download window will appear, Click Save.
- A new Save As window will appear. At the top of the window beside Save in select Desktop. (Note: If the filename does not end with .zip add this to the end i.e. JohnDoe.zip) Click Save.
- If a Download Complete window appears click Close. Minimize any open windows and look for the new Zip i.e. (JohnDoe.zip) file on your desktop.
- Right-click the Zip file and select WinZip then Extract to here.
- This will bring up the WinZip splash screen with the License Agreement and Warranty Disclaimer click I Agree or Use Evaluation Version.
- A new folder will appear on the desktop with the same name as the file i.e. JohnDoe.

- Q: How do I unpack a PowerPoint Presentation?
A:
- From your Desktop, double-click the new student folder i.e. JohnDoe. Inside you will see two files pngsetup and pres0.
- Double-click on pngsetup
- A Pack and Go Setup dialogue box should automatically appear. You can choose between the two possible next steps:
- Change the Destination folder path to C:\JDOE (Important Note: Folder names cannot contain spaces and must not exceed 8 spaces).
- Rename the file with the first initial and lastname JDOE for example if the student's name is John Doe. Another Pack and Go Setup dialogue box should automatically appear with the question The directory 'C:/JDOE' does not exist. Would you like to create it? Click OK.
- Simply Browse to the Desktop and locate the folder with the student's name i.e. JohnDoe and click OK.
- Another Pack and Go Setup dialogue box should automatically appear with the phrase The presentation was successfully installed in 'C:/…JDOE/', Would you like to run slide show now? Click Yes.
The PowerPoint presentation should begin. Use the arrow keys on your keyboard to navigate. Press the ESC key to exit the presentation.

- Q: How do I open a zip file?
A:
- Download the zipped file by double clicking the link and choosing save as.
- Save the file onto your desktop or in a folder.
- Locate the zipped file; right click the zip file and choose WinZip and
- then select Extract to folder C:/Documents and Settings/(Do not choose Open with WinZip... the sound files are accessed through the process above.)
- A folder is generated containing the unzipped PowerPoint.
- Find and open the folder with the same name as the zipped file

A: The banner across your slides lets you know that the software is a trail version and will require registration.

A: You can compress files using a utility called WinZip. WinZip can be downloaded from the following website:

- Right click the file
- Select Add to zip file
- Click on the use evaluation button
- Make note of where the zipped/compressed file will be going and click on the add button

A: Check that you have extracted the zipped file properly by selecting Extract to folder C:/Documents and Settings/ which unpacks the sound files from the presentation. If you have done everything correctly, please contact the student and/or facilitator to let them know the presentation has no sound.

Once your installation is complete, please restart your machine in order for the settings to take affect. Once your computer has restarted, you will need to rename your file to include the following at the end of the filename: .jar to install the Microsoft e-learning library CD.
Installing Microsoft e-Learning Library (MELL)
Insert the MELL Desktop CD-1, into the local CD drive.
The Readme file may pop-up. Read the file then close.
Open the CD.
To Open the CD:
Click Start from your Windows Menu Bar, choose My Computer
Open the CD drive from the My Computer screen. The CD drive can be found by locating CD Drive from the Type column (to the right of the Name column).
The CD drive window will open. You will see the following file and folder names:

- Microsoft Windows collection
- Microsoft Office xp productivity collection
- Microsoft Office 2000 collection
- faster smarter collection
To install MELL you must now launch the Setup program from the CD. Open the microsoft office 2000 collection folder. This folder contains tutorials for Microsoft Word, Excel and Power Point.
Double-click Setup
- On the Welcome page, click Next to continue.
- Click the Complete option and click Next to accept the default settings.
- The Ready To Install the Program page is the final step before installation. Click Install.
Accessing MELL
From your desktop, click the MELL Microsoft Office 2000 icon OR
Click Start from the Windows Menu Bar. Choose All Programs. Select Microsoft eLearning Library.
You are required to successfully complete the Training for:
- Microsoft Word
- Microsoft Excel
- Microsoft Power Point
We recommend that you begin each training module by taking the Pre-Assessment.
IMPORTANT: Please ensure that your pop up blocker is disabled prior to installing the software. There are two main ways to do this.
To disable the Microsoft Pop-up blocker:
- Open Internet Explorer.
- On the Tools menu, point to Pop-up Blocker, and then click Pop-up Blocker Settings.
- Search your hard drive for any software with pop-up in the name and disable it. Examples of popular pop-up suppression software include:
- Pop-Up Stopper
- Pop-Up Defender
- Pop-Up Zapper
- Pop-Up Killer
To download and unzip a PowerPoint presentation file. From the zipped PowerPoint file, please click or save the file onto your hard drive. The desktop would be the best place as it is easier to locate.
Once downloaded, double click on the zip file, and your WinZip application should start. The files you should see are called: -pres0.ppz & pngsetup -
You will need to highlight these two files and use the 'Extract' option on WinZip. This will prompt you to extract the files somewhere on your hard drive. Once again, the desktop would be the ideal area.
Once extracted, you should be able to see both files, double click on the pngsetup file and this will extract the 'pack n go' program from PowerPoint that will start the PowerPoint presentation.

- Q: How do I do animations and MP3 files at the same time.
A:
- Go into your presentation and click slide show from the top row of selections
- Then click custom animation from the dropdown menu.
- Look at the items listed on the top right quarter of the page. They will be your MP3 sound and your animations.
- The order should be correct but you will need to right click on each item to tell the slideshow when to begin each animation. Your options are 'start on click', 'start with previous' and 'start after previous'.
- You should make sure your sound is playing immediately after the title so the length of time needed on that slide is the same as the length of the sound file. If the sound file is your only media/animation, click 'start after previous' which will prompt the sound to start after the previous slide. If you have an animation as the first item, click start with previous on the animation and have the sound precede the animation so that both start together.
- Do this for every file and save changes along the way.
- Play the slideshow to confirm that it is playing as it should.

- Q: When trying to use the DB PowerAmp Converter to convert files from .wav to MP3, I am prompted to subscribe for the software and pay a certain amount.
A: You will need to uninstall the current version 11 that you have installed in your computer and restart your PC including removing the file from your trash can.
Attached is the previous version in which you will not be prompted to subscribe. Please download and install it into your computer.

- Q: How do I delete the sounds in my PowerPoint slides?
A: You can delete the sound icon from the slides by right clicking the sound megaphone and selecting cut.
Be sure to resave your PowerPoint without sound after completing this step.

- Q: Using compressing images in your PowerPoint presentations
A: Using images in your PowerPoint presentations should be limited. Defining what we mean by limited varies depending on the number of images used and their overall size, but the best rule-of-thumb for the purposes of this assignment is to keep the images small (no more than 300x300 pixels) and to use them judiciously throughout because of the impact on the overall size of the presentation. Use only images in JPEG or GIF format, as their size is generally smaller. An image on every slide will probably be too much, but an occasional image for illustrative purposes is fine. Here's a very brief, albeit low tech, review to explain why:
- The amount of detail in an image depends on its pixel dimensions and the amount of space the pixels use is controlled by the image resolution. GIF and JPEG are two commonly used image formats.
- Pixel dimension is the number of pixels along the height and width of a bitmap image.
- Image resolution is the number of pixels displayed per unit of printed length in an image, usually measured in pixels per inch (ppi).
- JPEG (Joint Photographic Experts Group) format is commonly used to display photographs in hypertext markup language (HTML) documents over the World Wide Web and other online services.
- GIF (Graphics Interchange Format) is the file format commonly used to display indexed-color graphics and images in hypertext markup language (HTML) documents over the World Wide Web and other online services.

- Q: How do I use Microsoft's Sound Recorder?
A: To Record Sound:
- From your Windows desktop click the Start Button then select Programs, Accessories, Entertainment and Sound Recorder.
- Make sure that you have a microphone connected to your computer.
- Click File and select New.
- From the buttons located along the bottom of the Sound Recorder, click the red circle and speak clearly into the microphone.
- When you are finished speaking, click the black square.
- Click File and select Save or Save as.
- Save the file to the location of your choice and give it an appropriate name (such as audioslideone.wav). You will need to be able to easily access these files in order to convert them.

- Q: To insert a sound recording/file into a PowerPoint presentation.
A: To record and hear a sound or comment, you need a microphone and speakers.
Display the slide you want to add a sound or comment to.
On the Insert menu, point to Movies and Sounds, and then click Sound from File.
To add sound or voice comment, locate the file on your desktop and click OK.
Click Automatically or When Clicked, when asked How do you want the sound to start in the slide show.
A sound icon appears on the slide. You may move and/or resize the icon.
When you are finished adding the sound, resave the PowerPoint file.
Converting Wav files to MP3 To convert your audio WAV files to MP3 files, which are a much smaller size. If you know that you already have dBpowerAMP Music Converter installed, proceed to Inserting Audio into PowerPoint below in this document. To see if you have dBpowerAMP Music Converter, at the bottom left side of your screen click Start, then click Programs (or All Programs) and look for dBpowerAMP Music Converter. If dBpowerAMP Music Converter is not listed in your Programs list, please proceed with the installation steps below:
Click the link below and you will be taken to a site where you can download the software that will be needed for this conversion.

Click Download Now located on the left upper portion of the page. The download should start automatically.
When prompted choose Save or Save Target As and save the file to your Desktop. (Be sure to select Desktop from the Save in: drop down list located near the top of the Save As dialogue window.)
Once the file has been downloaded successfully close any programs/windows opened and locate the file on your desktop. The file is called: dMC-r10.exe
Double-click on the file and follow these steps to run the installation program:
- In the dBpowerAMP Music Converter Installation window click Next >>.
- In the License Terms and Conditions click Install >> if you accept the terms and conditions. Click Accept
- The installation process should automatically begin. If it does not, please close down all programs running, restart your computer and begin these steps over.
- Remove the checkmark beside Popup Info Tips in Explorer and also remove the checkmark beside Explorer ID Tag Property Pages.
- Keep all other options as they are and click OK.
- On the window that reads The installation is now complete. Review the actions below before clicking on Finish: please remove the X from beside Create icon, Create icon and Run program.
- Click Finish.
You are now ready to convert your WAV files to MP3's. To convert your files follow these steps:
- Locate the WAV file on your computer that you will be using for your PowerPoint presentation.
- Right-Click the file and choose the option called Convert To.
- A new window will appear called dBpowerAMP Music Converter.
- Beside the phrase Converting 1 file to select MP3 (Lame) from the pull down menu.
- Under the heading Bit Rate you will want to move the cursor on the green bar over till it reads 64 Kbps beside the Bit Rate heading.
- Under the heading Output To: you will want to select Folder and then click the word Browse beside the pull down menu.

Note: You have just made a new audio file. If you have already linked your old sound file into your PowerPoint presentation then you will have to add the new MP3 file we just created in its place. If you have not linked the WAV file in your presentation then please go ahead and link the MP3 now.
Inserting Audio into PowerPoint
- Open your PowerPoint Presentation.
- Select the slide you wish to link the audio to.
- From the menu bar click Insert, select Movies and Sound and then select Sound From File.
- A new window will appear called Insert Sound, locate the MP3 file on your computer that corresponds to the current slide and click OK.
- An alert box will appear, click Yes and the sound is now linked to that slide.
- Continue this procedure for each slide ensuring that your presentation does not exceed 10 minutes.
Note: You will now need to save the changes you have made to your PowerPoint Presentation. From the menu bar click File, select Save. Next, we need to Package this file so that the PowerPoint and Audio files both get sent - if you skip this step the audio will not be included in your presentation.

- Q: Uploading PowerPoint presentation to IntraLearn
A: Please ensure that your file is between 2MB to 5MB in size. If you attempt to upload files that are larger than this size, you may encounter issues where you receive a page cannot be displayed error message. This is due to the size of the file which you are attempting to upload. Please attempt to compress your file by either using Impatica or WinZip.
To upload your PowerPoint file into Intralearn:
- Login to your course area
- Go into the appropriate discussions board
- Reply to your instructors main post
- Type in your Subject within the Subject field
- Type in your message into the message body
- Click on the browse button to locate your file
- Once you have located the file, double click the file and hit the post button
